What information do we collect from you?
We collect information about you (such as name, email address, employment information, location) when you submit an abstract/your contribution so we can organise the programme of the MHeNs Symposium.
For speakers who submit a lecture and people who submit an e-pitch: we collect information about you, such as name, email address, employment information, location, as well as the by you provided lectures and e-pitches, in order to organise the MHeNs Symposium and to make your presentation available on the MHeNs Symposium website.
Why do we collect this information?
We use the personal information you supply to be able to offer you the following services:
• Receiving and processing abstracts;
• MHeNs Symposium planning;
• Publication of the programme as well as recordings of by you provided e-pitches and lectures on the MHeNs website.
Who might we share this information with?
We share the personal information you provided on a need-to-know base confidentially with the website designer. Presentations of e-pitches and pre-recorded lectures will be posted on the website, as well as abstracts. During the symposium there will be a livestream of the presentations of speakers, and only with explicit permission of these speakers their power point presentations will be made available afterwards on the website of the MHeNs symposium. We share this information with the (MHeNs) scientists and/or the general public in order to bring the MHeNs Symposium and/or the work of MHeNs to their attention.
How long do we keep hold of your information?
The website of the MHeNs Symposium will be available for up to five years. Afterwards the website will be removed and at the same time all personal data (including presentations, abstracts, etc.) will be destroyed.
Legal basis for processing
We collect and use your personal information on one or more of the following grounds:
• you have given us your consent; and/or
• processing is necessary for the performance of a contract to which you are a party; and/or
• for the purposes of legitimate interests in our efforts to manage, administer and facilitate services for the MHeNs Symposium; and/or
• for the purposes of legitimate interest in our efforts to bring the work and knowledge of MHeNs to the attention of scientists or the general public.
How do we keep your information safe?
Personal information will be stored on the servers of Maastricht University and all the safety measures Maastricht University takes to keep (personal) data safe are applicable to this information as well.
